Get in Touch

This is a private reference site, not a government office. It cannot confirm current custody, release a person, post bond, pull an official booking record, or decide which charge is valid. Contact the sheriff, police agency, corrections department, or court that created the record.

Clay County Official Contacts

The Clay County Sheriff's Office is the first contact for county-jail custody and a booking-record or photo request. The public site did not identify a separate records-unit phone or email, so use the general office and the current sheriff FOIA PDF for written-request instructions.

Clay County Sheriff's Office

300 Broadway Street
Louisville, Illinois 62858
Mail: P.O. Box 267
Phone: (618) 665-3316

County contact hours listed in the research are Monday through Friday, 8:00 a.m. to 4:00 p.m. Confirm current hours before traveling.

Clay County Circuit Clerk

Crystal Ballard
111 East Chestnut Street
P.O. Box 100
Louisville, Illinois 62858
Phone: (618) 665-3523

The clerk lists a $6 written name search and separate copy charges. Use the court page for current instructions.

The sheriff and Circuit Clerk are separate custodians. A booking photo request belongs with the agency that made or maintained the booking record. A case disposition request belongs with the court.

Where to Ask for Each Record

Choose the office by the question you need answered.

Most Wanted and Tips

The sheriff's Most Wanted page is a selected public notice, not a complete warrant list. Its official page names XCRIME to tip411, the XCRIME app, and the sheriff app as tip methods and describes an anonymity option. The separate web Submit a Tip form has optional identity fields, so do not assume the form has the same anonymity terms.

Do not approach someone named in a wanted notice. Use the official tip channel, and use emergency services for an immediate threat. A tip is not a records request or proof of a charge.

What to Include in a Request

A focused request is easier for the right office to route. Include the person's name if known, the arrest or booking date or date range, the arresting agency, an incident or case number, and the exact record type. Say whether you want a booking record, photograph if one exists and is public, incident report, release field, or court disposition. Ask for an electronic copy and a fee estimate before duplication work begins.

If an agency says the record is missing, ask whether it was transferred, archived, destroyed under an approved schedule, withheld under an exemption, or never created. Keep the request and response date. The online roster can change after release or transfer, and its disappearance does not answer the retention question.
